We are looking for a committed and dependable colleague as a Team Assistant to support both the Technical Department and the Chartering Department. You will report directly to the Technical Director and the Chartering Director. It is a full-time position and part-time is an option.

Key Responsibilities

  • Provide administrative support to the Technical Director, Technical Department, Chartering Director and Chartering Department (and every now and then to other departments);
  • Arrange appointments for the Technical Department and Chartering Department through Outlook and Teams as required;
  • Keep and distribute minutes;
  • Structure the organization, filing and management of documents including the ships’ certificates on the office side;
  • Keep and distribute minutes;
  • Arrange flights, visas et cetera;
  • Structure the organization, filing and management of documents including the ships’ certificates;
  • Assist in coordination arrangements for vendors;
  • Assist with fleet projects;
  • Approve invoices for payment;
  • Provide orientation to new staff for the Technical and the Chartering Departments.

Knowledge, Skills and Competences

  • Strong secretarial skills such as minuting of meetings, preparing presentations, structuring and reviewing of documents and procedures;
  • Proficient and experienced in using the main Microsoft applications, specifically Word, PowerPoint, Excel;
  • Strong communication, interpersonal and collaboration skills;
  • Good organizational skills for internal meetings and larger meetings including third parties;
  • Ability to prioritize and manage time effectively;
  • Dutch language skills (this is a nice to have).
